BoardSpot is trusted by thousands of users from around the world, and we don't take that trust lightly. The security of our customers' data is of paramount importance to us. BoardSpot maintains the highest of security practices throughout the entire technology stack and all of our business practices.

Security Measures:

Multi-Factor Authentication

Every user has the option to enable Multi-Factor Authentication on their account, ensuring that even in the event that their password were somehow compromised, a bad actor would not be able to log into BoardSpot without also having access to that user's phone.

Password Security

Every user logs into BoardSpot with their own unique email and password combination. Passwords are salted with 64 bits of data, and encrypted with a SHA-512 encryption method. This means that passwords are a one-way process. We can only verify that the password a user enters matches the one stored in the database, and can never retrieve or recover passwords.

Encryption of data

All documents are encrypted with AES-256 on AWS S3 servers, and are exclusively transmitted across secure connections.

Storage of Credit Card Information

All credit card and related sensitive information is managed by Stripe. From Stripe's security documentation (1/1/2023):

Logging In & Reset Password

Logging in to BoardSpot is quick and easy. Each member uses their email address as their user name for login. If a password is forgotten, resetting it is simple. This article details instructions for these actions.

To log in:

Navigate to www.boardspot.com.
Click ‘Log in’ in the top right corner.
Your email address is your user name.
Your password is the one created when you first followed your email invite link.

| Since you are here, you can request a password reset link here. On the reset form enter the email associated with your BoardSpot account, and you will receive an email with a link to change your password.

To request a password reset:

Navigate to www.boardspot.com.
Click Login in the top right corner and select Forgot your password?
On the reset form enter the email associated with your BoardSpot account and click the Reset password button.
Check your email inbox, and click on the reset LINK included in the email.
Click Set Password button.
Enter your new, permanent password, check that your time zone is correct, and click Save. Moving forward, every time you log in use the new, permanent password that was set in step 6.

The Governing Documents Page

**Documents are simple way to stay organized in your BoardSpot portal. Governing documents is the home of the official documented information about the Organization. All board members should familiarize themselves with the organization's governing documents, and review them regularly. This article explains Governing Document access. **

|| The Documents home page is visible to all Board Members and Staff. These are not visible to Staff and Guests.

The Documents section of BoardSpot contains the organization's governing documents, grouped into buckets or folders.‌

Hover over the document name to select whether to view it in a new tab, or download it to your device. Click the document name to open it inside the portal.

| Click on a document's title to view or download the document to your device. | Documents stored on the Documents home page should be items that are applicable to the entire organization and/or are pertinent for more than just one meeting. Any documents that are specific to a meeting or committee should be housed in that committee's documents or meetings.

Getting Started

**Once you're invited to join an Organization using BoardSpot, getting on board is quick and easy. Logging in regularly will be an integral part of your board service. This article shares how to log in for the first time. **

| If you've already logged in and chosen a password, you can skip this section. If you are already a member of another organization's BoardSpot, you will automagically skip this step and be taken straight to your new Organization's portal

Logging in for the first time:

You will receive an invitation email from your Organization Admin. This will contain the link to join your new board portal. Click the "Join [your-organization] on BoardSpot" link, in the email invitation.

Fill in a password of your choice. We recommend that you choose a good password that is not used for any other services.
Set your time zone. This will ensure all meeting times are accurate for you. Click Save. Note: If you travel, you can adjust the time zone in your profile at any point, to see the meetings in the tme zone where you find yourself.
Next, you are prompted to get your calendar integration set up. This will be the method by which you will receive meeting invitations. A list of upcoming meeting dates is shown. Choose your preferred meeting invitation method. The default, advised method is using your email address. This means will you receive an email in your inbox, as well as an appointment invitation will appear on your calendar, for each meeting. Simpl

The Committees List Page

**The Committees home page is a clear and simple way to view the committees in your organization. The committees that show up on this page is determined by the viewer's membership privileges. This article illustrates the layout of the Committees home page. **

Configuring Permissions

**Access permissions are configured through a combination of user roles and committee permissions. Organization Admins assign these permissions to each member of the portal. Committee Admins can assign these permission within the committee(s) they administer. This article will clarify the implications of these permissions. **

Access across the portal for the Essentials Plan:

All participants in the portal:

Can view and access Dashboard, Documents, People, every committee, and every meeting. || On the Essentials Plan: there are no Private Committees, no Committee Admins, no Guests, and no custom roles.

Access across the portal for the Standard, Professional, and Enterprise Plans:

Board Members & Staff (as assigned on the People page):

Can view and access Dashboard, Documents, People, Public committees, and the Private committees they are members of. They can also cast votes, sign electronic documents, and fill out surveys.

Committee Members & Guests (as assigned on the People page):

Can view and access Dashboard, People, and only the Committees and Meetings they are participants of. They can also cast votes, sign electronic documents, and fill out surveys.
