Creating Committees

Committees are an integral part of a nonprofit board, and BoardSpot makes managing committees smooth and painless. There is no limit on the number of committees that can be managed through BoardSpot. This article explains adding new committees, and their participants, to your board portal.

Organization Admins and Committee Admins can mange committees. Contact your organization's administrator(s) for assistance with these tasks. Private committees are available in the Standard and Enterprise Plans.

Creating/Adding a committee to an organization:

Log in as an admin user for the organization and navigate to the Committees page in the sidebar menu.
Click the + Create Committee button.
Fill out the committee's information, including:
Title and description of this committee.
Identify if this is a private committee (available on the Standard, Professional, or Enterprise Plans).
Note: Private committees are ideal for groups whose agendas, minutes, or documents need to be secure.
Assign the committee admin role (available on the Standard, Professional, or Enterprise Plans).
Note: Committee admins are an excellent way to distribute the workload. By assigning admins for a specific committee, those individuals can create meetings, create agendas, create votes, publicize meetings, take meeting attendance, and take minutes... for that committee only!
Set your committee Quorum threshold (available on the Standard, Professional, or Enterprise Plans).
Note: Having a quorum threshold set for a committee means the meeting quorum tracker will work in conjunction with attendance to ensure your threshold is met.
Click Save to create the committee.

Creating a new committee:

A private committee is only visible to members of that committee, the admins for that committee, and the Organization Admins.

To add participants to a committee:

Log in as an admin user for the organization.
Navigate to the Committee home page, scroll to the correct committee, click the ellipses on the correct committee and select Edit Members.
In the correct role you wish the person to play in this committee (ie: Member, Staff, etc) choose the drop down list in the Select person field, and select the name of the person to add. Note: Within a committee, Members count towards quorum, and can vote. But within a committee, Staff and Guests do not count towards quorum, and do not vote by default (though this can be changed when a vote is created).

Adding committee participants:

Committee participants can be designated as member, staff, or guest roles and this is independent of the role they play within the greater organization. Committee participants can be assigned titles such as chair, secretary, etc.. and these titles do not correlate to administrative privileges within BoardSpot.
