NEW Joint Committee Meetings

BoardSpot now supports meetings that include multiple boards/committees. This article explains how to create joint meetings.

In order to create a joint meeting the admin must have administrative permissions for both groups.

Creating a joint meeting

Joint meeting creation:

  1. As an admin, go to the Meetings page and select + Create Meeting.
  2. Check the boxes next to the appropriate boards/committees who will be attendees in this meeting. Click Continue.
  3. Select whether this is a single or recurring series of meetings. Note: you can select "Past Meeting" in order to upload Minutes from previously held joint meetings.
  4. The title of this joint meeting will be auto filled with the names of the boards/committees. To craft a new title, place cursor in Title field box and remove then rewrite your desired custom title.
  5. Add remaining meeting details (date, time, duration, location, etc.) and Save the meeting. As with single board/committee meetings, you have the option to Save as Draft (visible to admins only) or Save & Publish (make visible to participants). The remaining steps for inviting participants, adding an agenda, etc are the same as single board/committee meetings.

Note: all participants from both boards/committees will show up on the "Participants" tab, and be able to RSVP. Members who are already in both boards/committees will only be included on the participants list once.

Note: this joint meeting will now appear on the Meetings tabs for each included board/committee, but on the full Meetings page will only show up once.
