The Status of a Meeting's Minutes

In BoardSpot meeting minutes can either be in a Draft status, or can be Published. Once the minutes are published, the document is visible to admins and meeting participants. Minutes being published does not notify meeting participants but an admin can optionally email the participants to notify them. The status of the minutes is clearly shown on the meeting's page in the "status" box. This article will explain the minutes status and notifications.

Organization Admins and Committee Admins can create and publish minutes. Contact your organization's administrator(s) for assistance with these tasks.


Minutes Status: Draft


When the minutes are created the meeting status box will show a checkmark beside "Add Minutes".

Visibility and notifications of draft minutes:


This meeting's minutes are visible to Admins only.

Minutes Status: Published


Publishing minutes for a meeting allows participants to access those records by logging into the portal. No notification is automatically sent to participants since this meeting is in the past.

Visibility and notifications of Published minutes:


This minutes are visible to all meeting/committee participants.
The admin can optionally send an email to participants informing them of the published minutes.
